Powerschool Logs

The Powerschool Log is a function that is not used by many schools.  Some schools have started to use the Nurse's log to track student visits to the Nurse's office, and our High School use the Discipline Log, but it is something that all principals can use to store notes electronically.  In this post, I will concentrate on the Medical and Discipline logs, but in addition to these, there are log categories for Attendance, Counselor Notes, Grade Changes, and Parental Contact.  To create a log entry for a student, first, select the student, and then click on Log Entries, under the Main Header Administration.

When you get to the Log Entries screen, you will see all of the old log entries for the student.  If you wish to review one of these entries, click on the date and you will be taken to the Log screen.  If you want to enter a new entry, click on New, and you will be given a blank Log Entry screen.


 
Here is the New Log Entry screen with information entered for a Nurse visit by a student.  All of the data in the red circles was entered for this particular incident.  Many of the entry fields have drop down boxes to help.  The incident entered below is shown on the previous screen, circled in red.  Not all information needs to be entered, but at the very least, you should enter date, author, log type, title and log text.  Sub type is useful, but can usually be determined by reading the log text.


Reviewing Log Entries
You can select and view log entries by entering selection criteria.  After selecting the entries, you can, at this time,  print reports for Medical and Discipline log entries only.  Here is how you view the entries or create these reports.

The first thing you need to do is to select the log entries you want to see.  You do this by clicking on Special Functions then selecting Search Log Entries.


This takes you to the Log Entries Search screen where you enter your search criteria.  The only thing you have to enter here is the Log Type, but by entering other criteria, you can narrow down your search.

 After submitting this, the Log Entry Functions screen will give you a choice on how to view your log entries.  Note that the number of entries is shown on the screen.


If you choose List Log Entries, this screen appears showing the entries.


If you chose either Medical or Discipline log entries, you can request a printed report.  The Print Log Entries Screen has a drop down box to allow you to select the report you want.  Be sure to select Medical Log Report or BGA Student Discipline Report depending on which entries you selected.
